About the Ukraine Programme
RWI is currently implementing Human Rights Infrastructure for Ukraine 2025-2027 (HRIU) Program in Ukraine funded by Swedish Development Cooperation Agency (Sida). The overall Objective of the Program is to strengthen Ukraine’s human rights infrastructure while supporting the country’s recovery and EU accession process including Ukraine’s EU accession process through human rights expertise for Chapter 23 of the Ukraine-EU Negotiations Framework. It engages Ukraine’s Ministry of Justice with the support of multi-stakeholder partnerships, universities and other academic institutions local perspectives and outreach on the national and EU levels. Human rights informed processes of recovery and EU accession should contribute to overall efforts towards Ukraine's stability, prosperity, social cohesion and international cooperation.
About the Position
Under the supervision of the Deputy Country Director and Country Director and in cooperation with the CFO, the programme Associate will work with RWI programme and finance teams in Lund, Sweden, to support financial and administrative management of the programme.
As Programme Associate, your primary responsibilities are to provide financial and administrative support to the HRIU Programme implementation through management of financial transactions, monitoring the programme field budget and expenditures and ensuring correct record keeping. You will organise and support logistics activities, operational administration, procurement, and property management.
- Prepare monthly expense reports and assisting in preparation of monthly budgets in close cooperation with the Lund-based RWI Finance team.
- Act as a focal point for daily banking matters. Maintain the office cash and bank accounts, conducting monthly bank and cash reconciliations.
- Manage petty cash account, listing receipts and disbursements.
- Process internal documents following organisational regulations and procedures.
- Contribute to drafting, executing, and managing contracts for consultants and vendors. Ensure timely payment to vendors in compliance with RWI regulations and procedures.
- Work with vendors to ensure correct and timely completion of necessary forms and collection of supporting documents.
- Support organisation and coordination of logistics on ad hoc basis.
- Act as a liaison with the HR and Local Accounting Outsourcing company.
- Support all daily matters related to office operations; e.g. supplies (stationery and other desk supplies), and vendor relations (consumables, telephone and internet).
- Keep office inventory list.
Your Profile
- Bachelor’s degree or higher in accounting, financial management, economics, business, or a related field.
- At least two years of work experience in accounting and administration.
- Experience working on donor funded foreign assistance programmes.
- Knowledge and experience in preparing financial statements and monthly accounting reports.
- Experience managing accounting systems and maintaining grant tracking systems, spreadsheets and ensuring all are maintained and up to date.
- Fluency in Ukrainian and English with excellent writing skills in both languages.
- Proven skills to work in teams.
- Strong attention to detail.
- Excellent communication skills and ability stay in close coordination with programme staff in Ukraine and in Lund.
- Strong interpersonal skills to interact effectively with partners and vendors
- Well-developed organisational skills and ability to take initiative and prioritise work task.
- Ability to work under pressure and complete tasks within given timeframes.
- Ability to work under difficult conditions while maintaining security awareness.
- Flexible, proactive and solution-oriented mindset with a desire to continuously improve work performance.
- A high sense of responsibility and commitment as well as strong attention to detail.
- Cultural sensitivity.
- Experience working with small grant programmes preferred.
